Webshop Software

WooCommerce

Our webshop is developed with software from WooCommerce. Personal data that you provide for our services will be shared with this party. WooCommerce has access to your data to provide us with (technical) support; they will never use your data for any other purpose. Based on the agreement we have with them, WooCommerce is obligated to take appropriate security measures. These security measures include the application of SSL encryption and a strong password policy. WooCommerce uses cookies to collect technical information regarding your use of the software; no personal data is collected and/or stored. WooCommerce reserves the right to share collected data within its own group to further improve services.

WooCommerce Hosting

Our webshop is developed with WooCommerce software, and we have chosen Mijn.host for our web hosting. Personal data that you provide for our services is shared with this party. Mijn.host has access to your data to provide us with (technical) support; they will never use your data for any other purpose. Based on the agreement we have with them, Mijn.host is obligated to take appropriate security measures. These security measures include the application of SSL encryption and a strong password policy. Regular backups are made to prevent data loss.

Email and Mailing Lists

MailPoet

If you have signed up for our newsletter, are a member of our site (if you can log in), or have previously purchased on our site, you may receive emails from us. We only send emails that you have signed up for or that pertain to services we previously provided. To send you emails, we use your name and email address that you provide. Our site also records the IP address you used when signing up for the service to prevent system abuse.

Gmail

We use Gmail for our regular business email traffic. This party has taken appropriate technical and organizational measures to prevent misuse, loss, and corruption of your and our data as much as possible. Gmail does not have access to our mailbox, and we treat all our email traffic confidentially.

Payment Processors

Pay.nl

To handle (part of) the payments in our webshop, we use the payment service provider Pay.nl. Pay.nl processes your name, address, and residence details and your payment information such as your bank account or credit card number. Pay.nl has taken appropriate technical and organizational measures to protect your personal data. Pay.nl reserves the right to use your data to further improve its services and, in this context, to share (anonymized) data with third parties. In the case of a request for a deferred payment (credit facility), Pay.nl shares personal data and order data with afterpay service providers. All the above-mentioned safeguards regarding the protection of your personal data also apply to the parts of Pay.nl’s services for which they engage third parties. Pay.nl does not retain your data longer than allowed by legal time limits.

Shipping and Logistics

Sendy

When you place an order with us, it is our job to deliver your package to you. We use the services of Sendy to carry out the deliveries. It is necessary for us to share your name, address, and residence details with Sendy. Sendy only uses this information to fulfill the agreement. In the event that Sendy engages subcontractors, for example, couriers like DHL, PostNL, or DPD, Sendy also provides your data to these parties.

Purpose of Data Processing

General Purpose of Processing

We only use your data for our services. This means that the purpose of processing is always directly related to the order you provide. We do not use your data for (targeted) marketing. If you share data with us, and we use this data to contact you at a later date – other than at your request – we will ask for your explicit permission. Your data is not shared with third parties, other than to meet accounting and other administrative obligations. These third parties are all bound by confidentiality under the agreement between them and us or an oath or legal obligation.

Automatically Collected Data

Data automatically collected by our website is processed with the aim of further improving our services. These data (e.g., your IP address, web browser, and operating system) are not personal data.

Cooperation with Tax and Criminal Investigations

In some cases, Boards & Beans may be held, based on a legal obligation, to share your data in connection with tax or criminal investigations by authorities. In such a case, we are forced to share your data, but we will oppose it within the possibilities provided by law.

Retention Periods

We keep your data as long as you are our client. This means we retain your customer profile until you indicate that you no longer wish to use our services. If you indicate this to us, we will also interpret this as a forget request. This also means we do not retain your data for more than two years from the last contact moment or transaction unless there is a legal justification for doing so. Based on applicable administrative obligations, we must retain invoices with your (personal) data, so we will retain this data for as long as the applicable term runs. However, employees no longer have access to your client profile and documents that we have produced in response to your order.

Your Rights

Under applicable Dutch and European legislation, you as a data subject have certain rights regarding the personal data processed by or on behalf of us. We explain below what rights these are and how you can invoke these rights. In principle, we send copies and copies of your data only to your already known email address to prevent misuse. You always have the right to restrict the data that we (have) processed that relate to your person or can be traced back to you. You can make a request to this effect to our privacy officer. You will receive a response to your request within 30 days. If your request is granted, we will send you a confirmation that the data will no longer be processed until you lift the restriction to the email address known to us.

Right to Data Portability

You always have the right to have the data that we (have) processed and that relate to your person or can be traced back to you carried out by another party. You can make a request to this effect to our privacy officer. You will receive a response to your request within 30 days. If your request is granted, we will send you copies or copies of all data about you that we have processed or have been processed on our behalf by other processors or third parties to the email address known to us. In all likelihood, we will no longer be able to continue the service in such a case, because the secure linking of data files can then no longer be guaranteed.

Right to Object and Other Rights
